Report Sharing and Public Reports
Report sharing lets you make a saved report available outside the normal report builder workflow. Depending on the action you use, a report can be shared through a public URL, shared with a signed-in user or with colleagues through property membership, added to dashboards, or exported for reuse.
Shared property permissions
Managing public links and widget publication requires an admin or owner. To collaborate on the same records, reports, and dashboards, invite colleagues as property members. Public links do not grant property membership.

Choose a Sharing Method
A public report URL opens a report through the public report view. Public links are useful for client updates, stakeholder review, or lightweight external access.
Public links require an active owner and property. Expired, revoked, or deleted-report links are unavailable. Public output includes report data, static insights, layout, and relevant appearance settings; automation rules and unrelated property settings are excluded. PDF downloads and configured realtime widgets use the same public link, without requiring sign-in or using a viewer’s selected property.
Public URLs can include expiration settings. Use expiration whenever the report should only be available for a limited time.
Public links can expose report data
Anyone with a valid public report URL may be able to view the shared report until the link expires or is deleted. Use public links only for reports that are safe to share with the intended audience.
An owner or admin can choose Share with user in the report actions and enter an existing AutoROICalc username or email address. The recipient receives a transactional email in their account language with a link to the shared report. Repeating an active share does not send another email; restoring a revoked share sends a new notification. If email delivery fails, the report remains shared. The recipient signs in and finds the report in the Reports list of their personal property. They can view it and include it in their own dashboards.
This grants read-only access to the saved report, including its configured breakdowns, insights, and realtime widgets. It does not grant property membership, report editing, access to source record lists, or integration management. Report calculations use the owner's saved configuration; recipients can change the viewing date range.
Use Delete sharing in the report actions to revoke the report's user grants. Access is checked on each request, and deleting the report revokes these grants too. Property membership and public links are separate access mechanisms.
Invite colleagues from the Property card on Account to collaborate inside the app. Members sign in with their own accounts and select the shared property to access its records, reports, and dashboards.
Choose reader access for viewing, editor access for report and dashboard editing, or admin access for broader property management. Membership grants access to the property's resources rather than only one report, so use Share with user for authenticated access to one report or a public link for access without signing in.
The Report Widget API publishes the calculated report chart rather than the full public report view. Use a public iframe for browser embeds, or authenticated access when your backend or plugin retrieves the widget with a service token.
Public widget access is controlled independently for each report and can be revoked or rotated without changing normal report sharing links.
AutoROICalc can render report output as PDF through backend report rendering. PDF output is useful when a static report copy is needed for email attachments, archiving, or external review.
If the report uses an advanced layout, verify the layout before generating or sending a PDF. Complex charts, widgets, images, and tables should be checked in the report view first.
Exporting creates a portable file instead of granting access to the current report view.

Managing Shared Access
Admins and owners can delete shared report URLs or disable widget publication from report actions. Manage authenticated collaborators separately in Account → Property → Members; removing a member does not revoke existing public links.
Use these actions when:
- A client or stakeholder should no longer have access.
- A public URL was sent to the wrong audience.
- A report is outdated and should not remain available.
- The report is being replaced by a new version.
Before Sharing
Before sharing a public link or sending a static report copy:
- Open the report yourself and confirm the selected period.
- Check that report items and enrichment values are correct.
- Review the advanced layout if the report uses widgets.
- Confirm that record details, custom data, and breakdowns are suitable for the audience.
Sharing is not the same as exporting
Sharing gives someone access to a report view. Exporting creates a portable file. Use report bundles when the recipient needs both the report configuration and the records needed to reproduce it.
