Report Sharing and Public Reports

Report sharing lets you make a saved report available outside the normal report builder workflow. Depending on the action you use, a report can be shared through a public URL, shared with another AutoROICalc user, added to dashboards, or exported for reuse.

Choose a Sharing Method

A public report URL opens a report through the public report view. Public links are useful for client updates, stakeholder review, or lightweight external access.

Public URLs can include expiration settings. Use expiration whenever the report should only be available for a limited time.

Public links can expose report data

Anyone with a valid public report URL may be able to view the shared report until the link expires or is deleted. Use public links only for reports that are safe to share with the intended audience.

Reports can be shared with another AutoROICalc user by username or email when this workflow is available in the app.

Use user sharing when:

  • The recipient has an AutoROICalc account.
  • Access should stay inside authenticated app usage.
  • The report should appear as shared rather than as an exported copy.

Depending on permissions and ownership, shared reports may have fewer actions than reports owned by the current account.

AutoROICalc can render report output as PDF through backend report rendering. PDF output is useful when a static report copy is needed for email attachments, archiving, or external review.

If the report uses an advanced layout, verify the layout before generating or sending a PDF. Complex charts, widgets, images, and tables should be checked in the report view first.

Exporting creates a portable file instead of granting access to the current report view.

Managing Shared Access

Report actions can include cleanup options for sharing, such as deleting shared URLs or removing user sharing.

Use these actions when:

  • A client or stakeholder should no longer have access.
  • A public URL was sent to the wrong audience.
  • A report is outdated and should not remain available.
  • The report is being replaced by a new version.

Before Sharing

Before sharing a public link or sending a static report copy:

  • Open the report yourself and confirm the selected period.
  • Check that report items and enrichment values are correct.
  • Review the advanced layout if the report uses widgets.
  • Confirm that record details, custom data, and breakdowns are suitable for the audience.

Sharing is not the same as exporting

Sharing gives someone access to a report view. Exporting creates a portable file. Use report bundles when the recipient needs both the report configuration and the records needed to reproduce it.
